We are the data controller for the information described in this policy. That means we are responsible for deciding how it is held and used.
What this policy covers
This policy explains what we do with personal information we collect when you use this website, when you contact us, and when you buy from us or have machinery serviced by us. It also explains your rights and how to exercise them.
The information we collect
When you fill in the contact form, we collect your name, your email address and whatever you write in the message.
When you ring or email us, we collect whatever you tell us, which usually means your name, your contact details, your farm or business, and what you need. If you ask about a machine we may note the crop, the acreage and the ground you are working, because we cannot advise you sensibly without it.
If you become a customer, we collect the information needed to quote, supply, invoice and support you. That includes billing and delivery addresses, purchase and service history, and machine serial numbers.
When you visit the website, our web server keeps a standard access log which includes your IP address, the pages you looked at and the time you looked at them. That is normal for any website and is used for security and for keeping the site working.
We do not ask for and do not want special category data, and we do not knowingly collect information about children.

Where we rely on legitimate interests, we have considered whether it is fair to you. If you think we have got that balance wrong, tell us and we will look at it again.
Who we share it with
We share your information only where there is a reason to:
- Manufacturers and suppliers, where a machine needs registering for warranty, where a part has to be ordered, or where a technical question has to go back to the maker.

- Our suppliers who run systems for us, such as website hosting, email and accounting. They act on our instructions and cannot use your information for their own purposes.
- Professional advisers, such as accountants and insurers, where they need it.

We do not sell your personal information and we never will.
Where your information is stored
Our website and email are hosted in the UK. Some of our suppliers may store information outside the UK. Where that happens we make sure there is a lawful transfer route in place, such as the UK’s international data transfer agreement or an adequacy decision.
How long we keep it
- Enquiries that do not turn into business: [24 months], then deleted.
- Customer records, including orders, invoices and service history: [seven years] after our last dealing with you, because of tax and accounting rules.

Keeping it secure
The website runs over an encrypted connection. Access to our systems is limited to the people who need it, and accounts are protected by passwords and, where available, two step verification. No website can promise perfect security, but if there is ever a breach that puts you at risk we will tell you and the Information Commissioner’s Office as the law requires.
Your rights
Under UK data protection law you can ask us to:
- Tell you what we hold about you and give you a copy
- Correct anything that is wrong
- Delete information we no longer have a good reason to keep
- Stop or limit how we use it
- Hand it over to you or someone else in a portable format
- Stop using it for marketing, which we will always do straight away
- Reconsider anything we do on the basis of legitimate interests
Contact sales@vsmgrowtech.co.uk and we will reply within one month. There is no charge. You will not be treated any differently for asking.
If you are not happy with how we have handled it you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first so we get the chance to put it right.
Marketing
If we send you machinery news, offers or event invitations, every message has an unsubscribe link and we act on it immediately. You can also just ring us and say stop.
Other websites
Where we link to a manufacturer’s site or anywhere else, that site has its own privacy policy and we are not responsible for it. Have a look at theirs before you give them anything.
Automated decision making
We do not make decisions about you by automated means, and we do not profile you.
Changes to this policy
If we change how we handle personal information we will update this page and change the date at the top. If the change matters to you we will tell you directly.
